The chairman first asked Mr. Peter Lee, the Vice-President, to inform the staff changes. Mr. Peter Lee said that the Treasurer had retired at the end of December and Mr. Edward Lee had been appointed to replace him.

The Sales Manager Mr. John Yip made a brief report on the latest market development. He said that the company was facing fierce competition from a South Korean electronics manufacturer. He outlined how action can be taken to counter DDK's marketing strategies.

Mr. Edward Lee, the newly appointed Treasurer, presented his idea on the cutting-down on lunch allowance(津贴)which was opposed by Mr. Peter Lee and Mr. Tom Chan. The chairman decided to discuss the problem later.

1 . Meeting minutes are the notes and documentation taken during a meeting. The minutes will ensure the company has an accurate record of past meetings. A company should keep all of their meeting minutes documented for as long as the business is in operation.

2 . Usually meeting minutes are taken or produced by the meeting's secretary but this task isn't reserved for meeting secretary only.

3 . Although there are different styles of minutes, they have the key information in common.

All should cover the following basic things:

a. where and when the meeting took place;

b. who was there and who was not;

c. discuss and confirm the agenda of this meeting;

d. discuss and confirm the minutes of last meeting;

e. address by the chairman of the meeting;

f. main body;

g. date of next meeting;

h. person who prepared the minutes.

A set of minutes should normally include the following information:

• time, date and place of meeting;

• list of people attending;

• list of absent members of the group;

• approval of the previous meeting's minutes, and any matters arising from those minutes (if applicable);

• for each item in the agenda, a record of the principal points discussed and decisions taken;

• time, date and place of next meeting;

• name of person taking the minutes.
